Registering for EHEF Bangkok 2009 is very convenient and can be done online. Two types of exhibitors will be distinguished: Higher Education Institutions (HEIs) and National Representations (NATs) from EU Member States.

This section describes the application procedure for EHEF Bangkok 2009. Please follow the instructions step by step. You are advised to download the EHEF Terms and Conditions for Exhibitors and study it carefully before starting your formal application.

1. Do you satisfy the eligibility criteria?
In order to be eligible to exhibit at the EHEF Bangkok 2009, your institution must:

  • be a higher education institution with its headquarters in one of the 27 EU Member States;
  • be recommended by the appointed national coordinator of the relevant EU Member State;
  • provide courses at the undergraduate level and / or the postgraduate level of higher education leading to recognised degrees;
  • provide degree courses that are accredited by the competent national authority in the relevant EU Member State;
  • have a strong international dimension or be actively seeking to develop one, i.e. offer courses (preferably English-taught) and support services particularly aimed at international students.

Priority will be given to individual higher education institutions with a focus on postgraduate courses.

2. How to register - Step 1
Interested higher education institutions must complete the online application form before the extended deadline of 1 September 2009. In addition a signed copy of the completed application form must be faxed to the National Coordinating Structure (NCS) in the HEI''s home country as soon as possible (before the set deadline). The complete list of NCS can be consulted below.

The eligibility of each HEI will be checked and approved by the NCS according to the exhibitor selection criteria described above.

Applications from each Member State will be ranked according to the date and time of receipt of the complete, signed application by fax. Applications will be considered as valid once the complete, signed, faxed application form is received by the National Coordinating Structure. Each Member State has a fixed number of booths for the EHEF Bangkok 2009. A first come, first served approach will be applied to applications from the same Member State, based on the receipt of the eligible, complete, signed, faxed application before the set deadline. Applicants will be informed by email of the outcome of their application: accepted, refused or waiting list.

3. How to register - Step 2 - Final registration
Selected applicants must complete Step 2 of the online registration process and fax the completed form to the Nuffic. Contact details will be presented on the online form.
During Step 2 exhibitors may request a free booth assistant, complete their fair catalogue entry, purchase an additional advertisement in the fair catalogue, confirm the names of the persons present at their booth and purchase additional booth equipment.

4. Waiting list
Any remaining booths not taken up by a Member State will be reallocated to applicants on the waiting list, according to a pre-defined exhibitor quota system and to the position of the applicant on the waiting list.

5. Fair terms and conditio
Exhibitors must accept the fair Terms and Conditions which can be consulted here.

6. Payment
Invoices will be sent to exhibitors prior to the fair for payment within three weeks after receipt of the invoice.

7. Exhibitor manual
All exhibiting institutions will receive an exhibitor manual by email prior to the event.

8. National Coordinating Structure
A National Coordinating Structure has been appointed for each EU Member State. These structures will coordinate exhibitor applications from national higher education institutions. The list of National Coordinating Structures can be consulted below:
